Tax season IT support after hours: how MSPs keep CPA clients running overnight

Guide · By Availclouds Team

From January to mid-April, accounting firms keep longer hours than almost anyone they work with. Preparers finish returns at night and on weekends, partners review files after the phones go quiet, and deadlines don’t move. For an MSP with CPA clients, that makes tax season IT support a night-shift problem as much as a daytime one.

This guide to after-hours tax season IT support covers what changes in those months, which tickets show up after 6 PM, and the ways an MSP can cover the nights without wearing out its own team.

Calendar-year deadlines; when one falls on a weekend or holiday it moves to the next business day. The weeks before each one are when CPA clients work late.

Why tax season breaks the normal support schedule

Most MSP service agreements are built around business hours, with an emergency line for real outages. That works for most clients most of the year. During busy season, a CPA firm’s working day can run well into the evening, and Saturdays become normal workdays.

The problem isn’t usually a full outage. It’s the small blocker at 9 PM that stops one preparer for the night: a locked account, a printer that won’t produce a PDF, a tax program that won’t open. Each one is minor on its own. In April, a lost evening is a missed deadline.

The tickets that show up after 6 PM

The after-hours ticket mix for accounting clients is predictable, which is good news, because predictable work can be planned for.

  • Sign-in and MFA lockouts

Staff working from home or switching devices late in the day.

    Usually fixed overnight

  • Tax software won’t launch or update

Drake, ATX, ProSeries or Lacerte on hosted desktops or terminal servers.

    Usually fixed overnight

  • QuickBooks multi-user and file errors

Several people working in the same company file at once.

    Usually fixed overnight

  • Remote Desktop problems

Sessions that freeze, disconnect or lose mapped drives.

    Server down: on-call

  • Printing and PDF output

Client packets, signature pages and e-file documents.

    Usually fixed overnight

  • Microsoft 365, Outlook and Teams

    Problems that block client communication.

    Tenant-wide: on-call

Very few of these need an engineer at 2 AM. They need someone who knows the software, can follow the firm’s procedures, and knows when to wake the on-call engineer instead.

Three ways MSPs cover the nights

1. An on-call rotation

Your own engineers take turns carrying the phone. It keeps everything in-house, but during busy season it means daytime staff answering password resets at midnight, which is how good technicians burn out in March.

2. Extended hours for the season

Some MSPs add an evening shift from January to April. It works if you can hire and train for four months of work, which is hard in a tight labor market.

3. An outsourced after-hours desk

A white-label partner answers your clients’ tickets overnight, inside your PSA and under your name, and hands everything back by morning. Your team keeps the day and the client relationship. The trade-off is trust: you have to be sure the partner follows your rules and never goes around you. See how an after-hours help desk for MSPs handles that, or read how the same model works for QuickBooks hosting providers.

The three options at a glanceOur assessment
Approach Set-up effort Strain on your day team Main risk
On-call rotation Low High Burnout by MarchThe same people work the day and the night.
Seasonal evening shift High Low Hiring in timeFour months of work is hard to staff and train for.
Outsourced after-hours desk Medium Low Choosing the partnerTest with a pilot; insist on non-solicitation.
A judgement call, not a benchmark. Set-up effort for the outsourced desk is mostly writing runbooks and creating accounts in your tools.

What good tax season IT support looks like overnight

Whichever option you choose, the same habits separate useful night coverage from noise:

  • A runbook per client: which tax programs they use, who may approve a password reset, what counts as an emergency.
  • Clear escalation: outages and security issues go straight to your on-call; everything else waits for a ticket update.
  • A handoff note at 8 AM: what was closed, what was escalated and what needs a daytime decision, so your day team starts informed.
  • Hands off the client’s data: fix the software, not the books. Technicians shouldn’t open tax returns or financial files to solve IT problems.

    • Closed overnight
    • Escalated to your on-call
    • Flagged for your day team
  2. 8 AMHandoff note before the office opens
Every overnight ticket ends one of three ways, and all three land in one note your day team reads at 8 AM.

Keeping out of client files matters for your clients’ own obligations too. The IRS guide Safeguarding Taxpayer Data (Publication 4557) sets out the security steps tax professionals are expected to take, and anyone supporting a firm after hours is part of that picture.

A tax season IT support plan for MSPsStart in November
  1. NovemberList each firm’s busy-season hours and who may approve password resets and new accounts.
  2. DecemberUpdate runbooks with this year’s tax software versions. Test remote access and MFA recovery for every preparer.
  3. Early JanuaryAgree in writing what counts as an after-hours emergency, and brief whoever covers your nights.
  4. January to AprilRead the 8 AM handoff notes every day and add to the runbook as patterns appear.
  5. After 15 AprilReview the season with each firm, and keep evening cover through extension season to mid-October.
Most of the work happens before January, when there is still time to fix access and paperwork.

Your team keeps 8 AM to 6 PM on weekdays. Everything outside those hours goes to the after-hours desk, in your PSA and under your name.

We sign a confidentiality and non-solicitation agreement, work only under accounts you create, and never contact your clients outside your ticket system. You can start with a two-week pilot before tax season and judge us on real nights.

Questions MSPs ask about tax season IT support

When should an MSP plan tax season IT support?

By November or December. Runbooks, remote access and escalation rules are easier to fix before January than in the middle of busy season.

Do CPA firms need 24/7 support during tax season?

Most need cover for evenings and weekends rather than true 24/7. The useful window is when preparers are still working and your own desk is closed.

Can an after-hours desk work only during busy season?

Yes, nights and weekends can be covered for a set period. Starting with a two-week pilot before January is a simple way to test the fit.

Will our CPA clients know the overnight desk is outsourced?

No. Every reply is signed as your team, inside your PSA, under accounts you create and can switch off at any time.
